Once claims have been gone through the approval process, the reports will enter the Claim Reports section. These reports have been approved by managers in your organization, but a SeaTalk admin must give a final approval to the claim report and reimburse the employee.
If you’ve not set up your approval process, all claims will automatically be sent to the Claim Reports section for approval.
Permissions needed

View and approve claims in the dashboard
- In the SeaTalk Admin Center, navigate to Application > Claim.
- In the left panel, click Claim Reports.
- Click the Submission Date field and select the date range for the claim reports you want to view and approve.
- To filter the claim reports further, click the Department and Status dropdown menus and select the types of claim reports you want to view and approve.
- To approve a claim report with a Pending Finance status, click the tick icon next to it. In the dialog box, select the Payment Due Date and click Approve. The claim report will now have the Pending Payment status.
- To reject a claim report with a Pending Finance status, click the cross icon next to it. In the dialog box, enter the Reject Reason and click Reject. Your employee will receive a rejection notification and the claim report will now have the Rejected by Finance status.
- To change the payment due date for a claim report with a Pending Payment status, click the clock icon next to it. In the dialog box, enter the new due date and click Save.
- Once payment has been made to the employee, click the currency icon next to the claim report to mark the payment as made. In the dialog box, click Mark as Paid. Once done, this cannot be changed.
- To view a claim report in more detail, click the claim. You’ll be brought to and can view all details, including the attachments. Learn more about the Claim Report Details page below.
View and approve a claim report in detail
- In the SeaTalk Admin Center, navigate to Application > Claim.
- In the left panel, click Claim Reports.
- Click the Submission Date field and select the date range for the claim reports you want to view and approve.
- To filter the claim reports further, click the Department and Status dropdown menus and select the types of claim reports you want to view and approve.
- Click the claim.
- View in detail the total amount, employee, report number, status, and submission date.
- In the Report Entries section:
- View the details of the claim and the attachment submitted by the employee.
- Under the Attachments header, click the paperclip icon to view the attachment for the entry.
- Under the Check header, you can select the checkbox as a reminder that the entry has been checked against the attachment.
- If the entries have mistakes (e.g., the information entered did not match the receipt attached), click Edit Entries to edit them:
- Enter a remark on the changes made.
- For each entry, update any fields you want.
- To add another entry, click New Entry.
- To remove an entry, select the checkbox on the left and click Remove Selected.
- Once done, click Save in the upper right.
- In the Approval History section, view the previous approvers of the claim report.
- To print the claim report, click Print in the upper right. You’ll see a printable report. Learn more about the report formatting.
- To approve the claim report, click Approve in the upper right.
- To reject the claim report, click Reject in the upper right.
Export claim reports
- In the SeaTalk Admin Center, navigate to Application > Claim.
- In the left panel, click Claim Reports.
- Click the Submission Date field and select the date range for the claim reports you want to view and approve.
- To filter the claim reports further, click the Department and Status dropdown menus and select the types of claim reports you want to view and approve.
- To export the claim entries of all claim reports in your filter, hover over Export in the upper right and select Export Claim Entries. A .XLSX file will be downloaded to your device.
